Clients and external sharing

Keep a record of each client and their contacts, and share a project by email with a client or vendor who then sees only what you choose.

A client in ProjectBrain is a record of a company you work for, with its contacts and projects. Sharing is separate: you can share a project by email with a person at a client or a vendor. They get their own sign-in and a read-only view of only what you choose.

Open Clients in the sidebar to see every client, with filters for status and tier.

  1. Choose New Client.
  2. Fill in Client Name and the details under Basic Information.
  3. Optionally set Contact Frequency (days). A client you have not contacted in that time shows Needs contact.
  4. Choose Create Client.
  1. Open the client.
  2. Choose Add Contact and fill in their name, email and job title.
  3. Use Make Primary on the main contact.

A client can be marked Conflict-sensitive client, for clients whose work must be kept apart from others.

  1. Open the project and choose Share.
  2. Under Share with someone, enter their Email and Name.
  3. Under They are, choose A client, A vendor or A teammate.
  4. Under How much they see, choose Only their tasks or The whole project. If you pick only their tasks, choose the Tasks to share.
  5. Under Also show, turn on Phases and progress, Coming up or Project end date as you like.
  6. Choose Share.

Someone on your team who is already in your organization is added to the project like any other member. A client or vendor gets an email and signs in to their own read-only view called Your projects.

The Share panel lists Your team on this project and Clients and vendors. Choose Change to adjust what someone sees, or Remove to end their access. Removing access ends it at once.

A client or vendor sees only the projects and tasks you shared, read-only. They never see budget, hours, health or comments, and nothing else in the app. Sharing The whole project with an outside person is logged and marked for security review.

Comments are internal by default. When you write a comment on a task you can tick Share externally to mark it as fit to leave your team. If the task is linked to a GitHub issue, the checkbox names the issue, because the comment is also posted there. That cannot be withdrawn once it is posted, so check before you tick.
