Invite your team

Send invitations, choose a role for each person, and understand how organizations keep access separate.

GAOwnerLast updated 5 October 2026

Invite people by email from Settings > Organization > People. Each person joins with a role, and the role decides what they can do in your organization.

You need permission to manage members. Owners have it. An owner can give it to other roles at Settings > Organization > Roles and permissions.

  1. Go to Settings > Organization > People.
  2. Under Invite someone, enter the Email address.
  3. Choose a Role.
  4. Select Send invitation.

The person gets an email with a link that works for 7 days. Until they accept, they appear under Waiting to join. From there you can Send again or Cancel invitation. Canceling stops the link working at once.

You cannot invite someone straight in as an owner. Once they have joined, an owner can change their role on the same page.

Role Usually can
Owner Everything, including roles and organization settings.
Executive See and manage most work across the organization.
Team lead Run projects, standups and their team’s work.
Team member Work on tasks in the projects they can see.
Client (read & comment) Read and comment on the projects shared with them.

These are the defaults. Owners can change what each role may do, or create new roles, at Settings > Organization > Roles and permissions. For details, see Security and admin.

Everything in ProjectBrain belongs to one organization: projects, roles and settings. A person can belong to more than one organization. A role in one organization grants nothing in another. Being an owner in one does not let you see anything in the other.

On Settings > Organization > People, select Remove next to the person. They lose their roles, project access and AI connections in this organization at once.
