Calendars

Connect your Google or Microsoft 365 calendar so your meetings appear on the Calendar page, and reply to invites from ProjectBrain.

Connect your calendar to see your meetings beside your tasks on the Calendar page. You can connect Google Calendar or Microsoft 365 Calendar.

  1. Go to Settings > Integrations.
  2. Choose Connect on Google Calendar or Microsoft 365 Calendar.
  3. Approve access with your Google or Microsoft account.

Your meetings appear on the Calendar page after the first sync.

  • ProjectBrain reads your events from a week ago to about three months ahead, including who is invited.
  • The only thing it writes to your calendar is your reply to an invite. On a meeting card you can answer Yes, Maybe or No, and the reply goes to your own calendar. You cannot reply to a meeting you organize, or to one that has ended.

If replying does not work on an older Google connection, disconnect and connect again so ProjectBrain can send replies.

Calendars sync every 15 minutes.

This part is in beta. If you do not see it, ask your admin to turn on Live Calendar Updates for your organization.

With it on, Google and Outlook tell ProjectBrain as soon as a calendar changes, so a new or moved meeting appears within seconds. The 15-minute sync keeps running as a backup.

Admins can set rules that put meetings on projects automatically, at Settings > Integrations > Calendar Project Rules. A rule matches on:

  • Attendee Domain: anyone invited has an email at that domain
  • Calendar Name: the event comes from that calendar
  • Title Contains: the title includes some text

Rules are checked from highest priority down, and the first match wins.

Your calendar events are private to you. Other people in your organization, including owners, do not see your synced meetings on their Calendar page.

Choose Disconnect on the calendar’s card at Settings > Integrations. Syncing stops.
