Timelines

Plan a project's phases and dates on a grid or a Gantt chart, with dependencies, effort and working days.

The Timeline tab is the project plan: phases, entries, milestones and their dates. Project leads use it to plan. Everyone else uses it to see what is coming up.

Anyone who can see the project can read its timeline. Adding or changing entries needs the project.update permission.

Open the project and choose the Timeline tab. A project with No timeline yet offers three ways to begin:

  • Start from a template: a ready-made plan for this kind of project. See Timeline templates.
  • Draft with AI: a draft built from the project brief, which you review before it is added.
  • Start blank: type the timeline into the grid yourself.
  1. Choose Add Entry.
  2. Enter a Title, a Scheduled Date and an Entry Type, such as a task or a milestone.
  3. Optionally set Effort (hours), a Parent group, or Group under a milestone.
  4. Choose Add Timeline Entry.

Tick This is a group to make an entry a container other entries nest under. A group cannot be a milestone.

Use Timeline view to choose between Grid, Gantt and List. The grid is a spreadsheet-style editor. The Gantt view draws each entry as a bar so you can see overlaps and gaps. Filters such as My Tasks, My Team, All Phases and All Sub-Projects narrow what is shown.

  • A predecessor makes one entry wait for another. Moving the first entry moves the ones that depend on it.
  • Effort is the hours of work an entry needs. It feeds workload and resourcing.
  • Durations count working days, so a plan does not schedule work on weekends.

Select entries, then choose Bulk Assign Tasks and pick who they go to. Clear Selection undoes the selection.

  • Deleting an entry cannot be undone.
  • An AI or template draft is not added until somebody reviews it and chooses Review draft.
