Resource management
See who is over-booked and who has room in the next weeks, book people onto work, and let anyone say their load is too much.
This feature is in beta. If you do not see it, ask your admin to turn it on for your organization.
Resource management shows how much work is booked for each person against the hours they have. It is meant to catch overwork early, so everyone can see their own load and raise a flag when it is too much.
Before you start
Section titled “Before you start”Open the Resourcing section in the sidebar. You need to be set up as a resource before your work shows. If you are not, ask your manager.
See your own workload
Section titled “See your own workload”- Open My workload.
- You see your booked hours for the next 12 weeks against your capacity.
- If your load is too much, choose This is too much, say how much and add a note.
Only your manager and resource managers can read your flag. You can withdraw it later.
Read the workload board
Section titled “Read the workload board”- Open Workload. The board lists people, sorted with the most over-booked first.
- Each person’s lane shows how loaded they are each week. A week marked Over capacity is above the line your organization sets.
- Open a person to see the tasks and bookings behind each week.
- Filter by project, department, skill or type. Choose Save view to keep a set of filters.
Hours worked out from timeline tasks with no hours set are marked as estimates. Needs scheduling lists work with no dates, so it is never left out of the count silently.
Book someone onto work
Section titled “Book someone onto work”- On the board, choose New allocation.
- Pick the person, the project, the dates and how many hours.
- Tick Also create a task on the project timeline if you want a timeline task too. It is off by default.
- Save.
Allocations lists every booking across the organization, with filters and Export CSV.
Answer a flag
Section titled “Answer a flag”- Open Flag inbox.
- Read the flag, then choose Acknowledge or Resolve flag. You can add a reply, which the person sees.
Set capacity and time off
Section titled “Set capacity and time off”People who manage resources set the organization’s default hours, each person’s hours, and time off in the resource capacity settings. Choose Add time off to book leave. A week shortened by time off shows a notched corner on the board.
Who can see what
Section titled “Who can see what”- Everyone can see their own workload.
- The board and the allocations list are for people with the view permission.
- A flag is read by the person who raised it, their manager and resource managers.
