Wiki
Write and keep your team's knowledge in pages that go through review before everyone relies on them.
This feature is in beta. If you do not see it, ask your admin to turn it on for your organization.
A wiki is a set of pages that belongs to one place: the whole organization, a subsidiary, a department, a team, a project, a client, or just you. Pages start as drafts and are published after review, so readers know which version the team stands behind.
Before you start
Section titled “Before you start”Open Wikis in the sidebar, under Knowledge. If you do not see it, the wiki is not turned on for your organization yet. My Wiki opens your personal wiki and Recent lists pages you opened lately.
Create a wiki
Section titled “Create a wiki”- Open Wikis.
- Choose New wiki.
- Pick what it belongs to (for example a project or a department) and give it a name.
- Save. The wiki appears on the Wikis page.
Who can read a wiki follows what it belongs to. A project wiki is readable by people who can see that project.
Write and publish a page
Section titled “Write and publish a page”- Open the wiki and choose New page. The editor opens with a draft.
- Type a title at the top, then write. Your work saves as you go.
- Type
/to open the slash menu and insert a block, such as a heading, a callout, a toggle, a table or a link to a task. Select text to format it, link it, or turn it into a task. - Choose Submit for review when it is ready.
- An approver reads it and chooses Approve & publish or Reject. A rejection needs a reason, which the author sees.
People who can approve pages can choose Publish on their own pages and skip the review step.
Comment and watch
Section titled “Comment and watch”- Select text in a page and add a comment. The comment stays attached to that text, and the text is highlighted for readers.
- Type
@in the editor to mention someone. The list only offers people who can read the page. - Use the Watch button to get notified about changes to a page. Choose it again to mute the page. Choose which notifications you get, in the app or by email, under your wiki notification settings.
Go back to an earlier version
Section titled “Go back to an earlier version”- Open the page’s More actions menu and choose History.
- Choose a revision to preview it.
- Choose Restore as draft. This makes a new draft from that revision. Nothing in the history is lost.
If somebody else saves the page while you are editing it, a banner appears. Choose Discard my edits & reload to take their version, or Fork my changes to a new draft to keep your edits on a separate page.
Share a page with a role
Section titled “Share a page with a role”- Open the page and choose Share.
- Under Add a role, pick a role and add it.
Everyone in your organization who holds that role can now read the page, even if they cannot open the rest of the wiki. A share never lets anyone edit. To stop sharing, choose Remove beside the role.
Who can see what
Section titled “Who can see what”- Members of your organization see the wikis that belong to places they can see. A page on a project with an ethical wall stays inside the wall.
- Your personal wiki is for you. Only you can read it in normal use, and any exceptional access to it is recorded.
- Clients can read pages and comment if they hold those permissions. They cannot edit.
- Owners choose what each role can do at Settings > Organization > Roles.
Things that surprise people
Section titled “Things that surprise people”- Archiving a page hides it from search and the page tree. It is not deleted.
- The AI assistant, where your organization allows it, only suggests text. Nothing goes into the page until you accept it, and the change is recorded as yours.
- A share grants reading only. To let someone edit, give their role the right permission instead.
